Software & Platform

Built for how therapy practices actually run

Behavioral health billing does not look like the rest of medicine. Sessions repeat, authorizations run out mid course, and notes carry a different confidentiality standard. This is our platform configured for that reality.

Core capabilities

What is different here

Session based scheduling

Recurring appointments across weeks or months, set up once, with the authorization count attached so nobody books past what is approved.

Therapy note templates

SOAP, DAP and BIRP formats with treatment plan tracking, rather than a medical template you have to fight into shape.

Authorization tracking

Visits used and visits remaining shown against each client, with a warning before the count runs out rather than a denial afterwards.

Time based coding support

Session length drives the code. The platform records duration and flags when the documented time does not support the code selected.

Group and family sessions

Multiple participants on one session, billed correctly against the right client record.

Telehealth ready

Place of service and modifiers handled correctly for remote sessions, which is where a lot of behavioral health denials come from.

How it works

Getting your practice on it

Review how you work now

Session types, cadence, payers and where your denials currently come from. Behavioral health denials cluster in predictable places.

Configure for your caseload

Templates, session codes, authorization rules and treatment plan structures set up around your actual practice.

Migrate clients and schedules

Existing clients, recurring appointments and open authorizations brought across.

Go live

With support through the first billing cycle, when authorization edge cases usually surface.

What changes

What it fixes

The three problems we hear about most from therapy and behavioral health practices.

Authorizations stop expiring quietly

Visit counts are tracked against the client and shown at booking, so the twelfth session does not get delivered against an eleven session approval.

Notes match the code

Time and content are recorded together, so a 60 minute code is supported by a 60 minute note.

Less admin between clients

The gap between sessions goes back to being a break, rather than the time you use to chase a payer.

Human oversight

Where the person comes in

Clinical notes are yours and stay confidential to your practice. The platform helps with structure and compliance checks, it does not write your clinical content, and it never submits a claim on its own.

That boundary is deliberate and we hold it across every agent we run. AI prepares and flags. A trained person reviews and decides, and is accountable for the result.

  • Clinical content is written by the clinician, always
  • Confidentiality standards for behavioral health respected throughout
  • Coding suggestions confirmed by a certified coder
  • Patient data handled under HIPAA-compliant processes

Questions

Answers, straight

Do you support group and family therapy billing?

Yes. Group and family sessions are handled with the right participant records and codes, which is a common source of errors when a general medical system is used for therapy.

Can we bill telehealth sessions correctly?

Yes. Place of service and modifiers for remote sessions are handled, and this is one of the most frequent causes of behavioral health denials we see when practices are using a general purpose system.

Is this a separate product from your main platform?

It is the same platform, configured for behavioral health. Pricing is the same $250 per month.

Do you bill for mental health practices as well?

Yes. See our mental health billing service if you want us to handle the billing as well as provide the software.

Practice Claim handles patient financial and clinical data under HIPAA-compliant processes. We do not claim certifications or accreditations the company does not hold.
